FAIRWAY VENTURES SPORTS SERVICES L.L.C (“Fairway Ventures”, “we”, “us”, “our”) provides junior golf events and related services. This Privacy Policy explains how we collect, use, disclose, and protect personal data when you use our websites, register for events, or otherwise interact with us.

2) Scope

This Policy applies to personal data we process through our websites, event registrations and ticketing, newsletters, customer support, social media, and on-site event activities (including photography and videography). It does not cover third-party websites or services that have their own privacy policies.

1. a) Data you provide directly

• Identity & contact: full name, email, phone, address.
• Participant details: date of birth/age group, handicap, academy/club, emergency contact.
• Parent/guardian details for minors: name, relationship, contact.
• Registration & payment data: selected events, merchandise; billing details (card data processed by our payment processor; we do not store full card numbers).
• Communications: inquiries, survey responses, feedback, complaints.
• Media: photos and videos captured at events (see Section 10).

• Device & usage: IP address, browser, device type, pages viewed, referring/exit pages, timestamps.
• Cookies and similar technologies: to operate our site, remember preferences, and measure performance. See Section 11.

1. c) Data from third parties

• Service providers (e.g., registration, payment, analytics) and event partners (e.g., host clubs/academies) may provide information to enable registrations, eligibility checks, safety, and operations.

4) Why we use personal data (purposes)

• Provide services: create accounts, process registrations, manage events, communicate schedules/results, deliver merchandise.
• Safety & safeguarding: verify age groups, maintain emergency contacts, administer on-site protocols and incident reporting.
• Customer support & communications: respond to inquiries, send administrative notices.
• Marketing (with choice): send newsletters and updates; show event highlights on our channels; you can opt out at any time.
• Analytics & improvement: monitor site performance, improve user experience and event operations.
• Legal & compliance: recordkeeping, tax, audit, and responding to lawful requests.

Depending on jurisdiction, we process data based on one or more of the following: consent (e.g., marketing, certain media uses, minors), contract (to provide requested services), legitimate interests (operate and improve services, event safety), legal obligations, and vital interests (urgent health/safety situations).

We operate junior events. If you are under the age of majority in your jurisdiction, a parent/guardian must provide or consent to your registration and participation. We do not knowingly collect personal data from minors without appropriate consent. Parents/guardians may request access, correction, or deletion as described in Section 9.

We may share personal data with:

• Service providers: registration platforms, payment processors, IT/hosting, email and analytics tools.
• Event partners: host clubs/venues, coaches/academies to run the event safely and fairly.

Subject to law, you may have rights to: access, correct, delete, restrict or object to processing, and data portability; and to withdraw consent at any time (this does not affect processing prior to withdrawal). You may opt out of marketing by using unsubscribe links or contacting us.

10) Photography, video & results

We may photograph and film events to document and promote junior golf. Where required, we obtain consent (for minors, from a parent/guardian). If you prefer not to be photographed or wish to request removal of an image featuring you/your child, please email info@fairwayventures.co with details. We may publish names, age groups, and scores for results, consistent with event practice and safeguarding considerations.

11) Cookies & similar technologies

We use essential cookies to operate the site and optional cookies for analytics and performance. You can adjust browser settings to block or delete cookies; this may affect site functionality. Where required, we will ask for cookie consent.

12) Data retention

We keep personal data only as long as needed for the purposes above, including to meet legal, accounting, or reporting obligations. Typical retention for inactive accounts and event records is the shorter of our operational needs or statutory requirements; media content may be retained for archival purposes unless removal is requested and feasible.
